Privacy Policy
Effective date: 24 March 2025 Last updated: 18 May 2026 Applies to: Deepsky AI's websites and online services (the "Services").
Deepsky Pty Ltd ABN 86 683 512 183 ("Deepsky", "we", "us", "our") takes privacy seriously. Deepsky is currently a small business operator and is not subject to the Privacy Act 1988 (Cth). Nevertheless, we apply the privacy practices set out below as a matter of good business hygiene and as a reflection of how we believe users' information should be handled. This policy describes how we collect, hold, use, and disclose information about you when you use the Services.
1. Information we collect
When you use the Services, we may collect the following kinds of information:
- Account and profile data — your name, email address, organisation, and any preferences you provide when you create an account or update your profile.
- Usage and analytics data — information about how you interact with the Services, including queries, conversation topics, feature usage, IP address, device and browser type, approximate location, and diagnostic data.
- Content you submit — messages, queries, files, or documents you provide through the Services.
We collect information directly from you when you register, use the Services, or contact us. We also collect technical data automatically through cookies and similar technologies.
2. How we use your information
We use your information to:
- Provide, operate, and maintain the Services
- Authenticate users and manage accounts
- Respond to support requests and enquiries
- Analyse conversation and usage patterns to understand the information our users need and to improve the quality, relevance, and reliability of the Services
- Detect and prevent security threats, fraud, and abuse
- Send service-related notices and, where you have consented, product updates
We do not sell your information. We do not share your information with third parties for their own marketing or commercial purposes.
3. Analytics and conversation data
We analyse conversation and usage data to understand the types of information users seek and to improve the Services. When we review this data, we cannot identify which user submitted a particular query or message. This analysis is conducted internally and the insights derived are used solely to make Deepsky better for our users.
We do not share your conversation content or personal information with any external party for analytics, advertising, or any other purpose.
4. Disclosure of information
We keep your information closely held. We may disclose information only in the following limited circumstances:
- Service providers — trusted providers who assist us in operating the Services (such as hosting, database, and AI inference providers), who are bound by appropriate confidentiality and data handling obligations under their published terms.
- Professional advisers — lawyers, accountants, or auditors where reasonably necessary.
- Legal requirements — where we are required by law, a court order, or a regulatory authority to disclose information.
- Safety and rights — where reasonably necessary to protect the rights, property, or safety of Deepsky, our users, or the public.
- Corporate transactions — in connection with a merger, acquisition, or sale of assets, subject to appropriate confidentiality safeguards.
Some of our service providers are located outside Australia. Where information is transferred overseas as part of operating the Services, we choose providers with recognised security certifications (such as SOC 2 Type 2 or ISO 27001).
5. Data retention
We retain your information for as long as your account is active and for a reasonable period afterwards to support service continuity, dispute resolution, and our internal recordkeeping. When information is no longer needed, we take reasonable steps to delete or de-identify it.
6. Security
We take reasonable steps to protect information from misuse, loss, unauthorised access, modification, and disclosure. These measures include encryption in transit and at rest, access controls, credential rotation, and regular review of our security posture. No method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Your choices
If you would like to access, correct, or delete information we hold about you, please email us at admin@deepskyai.com. We will respond within a reasonable period — typically within 30 days. We may need to verify your identity before processing your request.
What we can provide: Upon request, we can provide you with a copy of your user profile data (the same information accessible from your account dashboard). We are not always able to provide copies of conversation history.
These commitments are made voluntarily. They reflect how we choose to handle user information rather than a statutory obligation we are subject to.
8. Cookies and tracking technologies
We may use cookies and similar technologies to support the functionality of the Services, remember your preferences, and collect usage data. You can manage cookie preferences through your browser settings, though disabling cookies may affect the functionality of the Services.
9. Children
The Services are not directed at children under 15 years of age. We do not knowingly collect information from children under 15. If we become aware that we have collected such information, we will take reasonable steps to delete it.
10. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on our website and revise the "Last updated" date above. Where changes are material, we will take reasonable steps to notify you (for example, by email or a notice within the Services). Your continued use of the Services after the updated policy takes effect constitutes your acceptance of the changes.
